In order to set up a committee you need a minimum of three people.

There are 5 mandatory roles- Chairperson, Treasurer, Secretary, Children's Officer and Company Member. The first three cannot be help by the same person but the last two can be taken on by a person in one of the first three positions.

Mandatory Roles

Chairperson

• Must be Garda Vetted

• Chair meetings of the Committee and all General meetings.

• Ensure the Committee functions properly and liaise with the other members to encourage, support and oversee their work.

• Encourage organisation members to volunteer

• Be a positive role model for all members of the organisation

• Co-sign cheques with the treasurer.

• Ensure the Community Games Area/ County complies with all legislation. and organisational rules.

Treasurer

• Must be Garda Vetted

• Has responsibility for managing all of the finances of the organisation, including but not limited to

• Ensuring the effective recording of all income from whatever source

• Advising those in the organisation who are receiving monies as to the procedures to be followed in the recording and banking of those funds

• Being an authorised signature of all (Electronic and Cheque) Payments from the organisation’s Bank Accounts and recording this on the ORS

• Advising the Committee in writing of variations on income and expenditure against the agreed budget

• Report on the organisation's financial performance at the Community Games AGM.

• Pay Area/ County bills.

• Ensure that additional activities outside of Community Games' Program of events are covered under insurance.

Children's Officer

• Must be Garda Vetted

• A Children’s Officer must be appointed. Officers’ must be 18 years of age or over.

• To ensure that the welfare of all children in the area is at the forefront of all decision making and of all planning.

• Ensure that all volunteers are Garda Vetted with Community Games.

• To advise coaches, parents and children on issues relating to bullying or discrimination.

• To ensure that all members abide by Community Games policies in particular the Child Protection Policy and the Code of Conduct, Risk Assessments and Child Safeguarding Statements

• To act as a point of contact for parents, coaches and other committee in relation to any queries regarding child protection and welfare.

• To ensure the safe recruitment of all volunteers in the area, this includes vetting and obtaining credible references.

• To liaise with the County Children's Officer and/ or the National Children's Officer in relation to any child protection or welfare concerns.

• To report any allegations of abuse to the Statutory Authorities.

Company Member

• Must be Garda Vetted

• Each area must appoint a company member. Community Games must have members to manage the administrative affairs of the organisation. Under company law every company must have members.

• It is the responsibility of the area/ county secretary to ensure the company member form is filled out and that the company member is notified of their position.

• Please note that National may periodically make contact with company members.

• Each county should put forward 3 delegates and these must be company members to be put forward to National AGM.

Optional Roles

Public Relations Officer

• Must be Garda Vetted

• To promote Community Games in your area/ county

• Promote Community Games on Social media Facebook etc

• share all information from National and sharing good news

• Link in with your local new papers and radio

• Take or organise photos/ photographers for all events and share to social media and papers.

• Be aware of Community Games policies

Games Director

• Must be Garda Vetted

• To liaise with your executive on the events calendar

• Locate venues and book the events

• Enlist volunteers with the appropriate skills to help

• Liaise with the County Secretary and Children's Officer that all volunteers are Garda Vetted

• To ensure that the correct external help is available for your event (Order of Malta, Gardaí)

• That County/ area has correct insurance for venues, letter of indemnity, and that the events being carried out are covered by Community Games insurance

• If a risk assessment is necessary that it is carried out for the safety for your participants and competitors.

• After each event the results are combined, checked they are correct and they are sent to the secretary and the PRO.

Youth Officer

• Must be Garda Vetted

• To encourage our over 16 youth to volunteer with Community Games

• Volunteer at events and help where needed especially if they have the necessary skills.

• To organise fun games for the participants and families whilst the events are happening. Bring the fun to events!

• Assist the Activities Committee in co-ordinating the events

• Help with the running and training of the Community Games (help the participants get ready for the events)

Development Officer

• Must be Garda Vetted

• The role is to reach out to all areas including lapsed or struggling areas and offer support

• To meet and guide with potential officers in the areas to help explain the roles.

• Hold an information evening to explain what Community Games is

• Explain that we have a website with training links to assit the running of a committee, additional resources.
